Front Desk Assistant

Position Summary
Join the Constellation Acupuncture & Healing Arts (CAHA) team! We’re a queer and women-owned acupuncture and healing arts clinic in Northeast Minneapolis dedicated to high-quality, individualized care.

We’re looking for a Front Desk Assistant to support our team of Chinese medicine providers and bodyworkers. This role is essential to the patient experience—offering a warm, welcoming presence, supporting practitioners, and keeping daily operations running smoothly.

Summary of Duties
The Front Desk Assistant is the first point of contact for patients—whether in person, by phone, or via email. You’ll manage scheduling, payments, and retail sales with accuracy and efficiency while creating a positive, seamless experience for every patient.

This role requires strong multitasking, attention to detail, and the ability to work independently. You’ll also support patient care by helping maintain clean, well-stocked treatment rooms and ensuring the clinic is opened and/or closed thoroughly and on time. Flexibility and adaptability are key as our clinic continues to grow.

Job Duties (not a complete list)

  • Provide excellent customer service across in-person, phone, email, and text communication

  • Schedule appointments, process payments, and support retail sales accurately

  • Support daily clinic flow (changing linens, restocking rooms, general tidying)

  • Perform light cleaning (dusting, surface sanitizing, trash/recycling, vacuuming)

  • Check mail and receive packages

  • Maintain retail displays and assist with inventory and receiving

  • Communicate clearly with team members throughout shifts and at shift changes to ensure consistency and high-quality care

Essential Job Requirements

  • Strong written and verbal communication skills—this role is communication-forward

  • Proficiency in Google Workspace, including Gmail, Calendar, Docs, Sheets, and related applications

Functional Qualifications

  • Ability to access all areas of the clinic

  • Ability to sit and work at a computer for extended periods

  • Ability to lift at least 25 pounds

  • Ability to tolerate natural scents in the workplace (including herbal oils, essential oils, and burned plant materials used in treatments)

Preferred Qualifications

  • Customer service experience

  • Interest in complementary medicine and/or experience in a healthcare setting

  • Familiarity with Apple operating systems

  • Experience with Square POS

  • Familiarity with scheduling platforms

  • Ability to troubleshoot common tech issues

Typical Working Conditions
This role involves use of office equipment requiring manual dexterity, coordination, and sustained attention. Daily tasks include a mix of sitting, standing, walking, lifting, and bending.

Our clinic is located on the second floor and is accessible by elevator and stairs. Two all-gender restrooms are available on our floor.

Hours
Weekday morning and mid-day hours on Monday, Tuesday, Thursday, and Friday. Must be available to open the clinic at 7:30am.

Compensation
$19/hour starting wage
